Accounts Receivable Clerk

Position Overview: We are seeking a detail-oriented and proactive Accounts Receivable Clerk to join our finance team. In this role, you will be responsible for managing the invoicing process, following up with customers to collect outstanding balances, and ensuring that all accounts receivable activities are carried out efficiently. The ideal candidate will have excellent organizational and communication skills and a customer-focused approach. Bilingual proficiency in English and French is required.

Key Responsibilities:

  1. Invoice Creation and Management:
    • Prepare and send invoices to customers promptly and accurately.
    • Update orders invoiced as needed, including creating credits and re-billing customers.
  2. Customer Follow-Up:
    • Follow up with small to medium-sized customers to collect outstanding balances.
    • Maintain clear and professional communication to resolve payment issues.
  3. Prepay Customer Management:
    • Monitor prepay customer orders to ensure billing and payment collection occur before delivery.
  4. Overdue Balances Management:
    • Track customers with substantial overdue balances and take necessary actions to address these accounts.
    • Work closely with the finance team to escalate unresolved issues when required.
  5. Support Sales and Operations (S/Ops):
    • Address inquiries from the Sales and Operations team and customers regarding invoices.
    • Provide prompt and accurate resolution to any billing discrepancies or concerns.
  6. Ad-Hoc Tasks:
    • Assist with additional tasks and projects as needed to support the finance and operations teams.

Qualifications:

  • High school diploma or equivalent (Associate degree in Accounting or related field preferred).
  • 1-3 years of experience in accounts receivable or a related role.
  • Proficiency in accounting software (e.g., QuickBooks, SAP) and Microsoft Excel.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Bilingual in English and French.
  • Ability to handle sensitive financial information with discretion and confidentiality.
  • Problem-solving skills and a customer service mindset.
